2013 Annual General Meeting
To be held in the HPA forum during the week commencing Monday 22nd April
1. The Annual General Meeting (AGM) will be held in a sub-forum of the HPA forum which is only accessible to members who have paid a subscription and have registered for the forum. The meeting will commence on Monday 22nd April and extend over a period of one week in order to provide time for discussion and elections. In accordance with the constitution, the Committee shall comprise the officers and not fewer than four and not more than eight other members. The general agenda for the AGM is here. Specific issues for discussion will be posted in the forum.
2. The Committees invites nominations for election to the Committee. Nominations for office bearers and committee members may be sent electronically to the Secretary before 5pm on Sunday 14th April 2013 or posted in the forum prior to the commencement of the AGM. Nominations should include include confirmation from the nominee that they are willing to stand.
3. Questions to the office bearers and subjects for discussion at the AGM shall either be submitted to the secretary in advance of the meeting or posted in the AGM sub-forum.
4. Eligibility for attendance at the AGM and election to the committee is open to anyone who has paid their HPA membership subscription. Copies of reports and a list of nominations will be sent by email to all eligible members 5 days before the commencement of the meeting. Members who have paid their subscription should register for the forum at least 2 days in advance of the meeting so that they can be given access to the AGM sub-forum.

The forum software includes the facility to create polls, which can be used for voting purposes.
It is relatively easy to learn how to use of the forum. Help is available if needed but the two main buttons to look out for are "New Topic" to start a new discussion thread and "Reply" to contribute to an ongoing discussion thread. if you want to reply to a specific point (or "post" in forum terminology) then select "Quote" on that post. If you need to edit what you have posted then select "Modify". Note that it is not possible to edit what other people have posted but if you want to modify a proposal, such as a proposed resolution, then quote the original suggestion and add your proposed revised wording.
Members do not need to stay in the forum for the duration of the meeting but can visit from time to time over the week to contribute to discussions and take part in any voting.
Any members who need assistance with registration for the forum may email the webmaster indicating their preferred name. They will then be registered and emailed their password.
